The information we collect
When you send an enquiry through our website form, we collect your name, email address, phone number, your message and any other details you choose to include in the form.
When you contact us another way — by phone, email or WhatsApp — we keep a record of what you send us and what we discuss.
When we visit or quote for your project, we collect your property address, measurements, photographs and notes about your property and garden, details of what you want built, and anything relevant to planning, Building Regulations or drainage.
If you become a customer, we also keep your quotation, contract, correspondence, payment records and details of the work we carry out. We do not store your bank card details.
When you browse our website, we collect information about how the site is used, such as the pages you visit, roughly where you are visiting from, and the type of device and browser you use (see “Cookies and analytics” below).
How we use your information, and our lawful basis
- To respond to your enquiry, arrange a site survey and prepare a quotation — because you have asked us to, as steps before entering into a contract with you.
- To carry out the work we agree with you — including scheduling, ordering materials, coordinating with Building Control and keeping you updated — to perform our contract with you.
- To provide warranty and aftercare support — to perform our contract with you, and in our legitimate interests in standing behind our work.
- To keep financial and tax records — to comply with our legal obligations.
- To understand how our website is used and improve it — in our legitimate interests (see “Cookies and analytics”).
- To follow up on a quotation we have sent you — in our legitimate interests in responding to your interest in our services. You can ask us to stop at any time.
We do not sell your personal information, and we do not send marketing emails unless you have asked us to.
Who we share your information with
We only share your information where it is needed to deliver our service, and only what is necessary:
- Trades and suppliers who work with us on your project, such as subcontractors and materials suppliers delivering to your address.
- Professionals involved in your project, such as a structural engineer, architect, Building Control inspector or your water company (for example, for a build-over agreement) — usually with your knowledge, as you will often appoint them directly.
- Service providers who support our business, such as our website host, email provider (Google), website analytics (Google Analytics), WhatsApp if you choose to message us there, and our accountant.
- Authorities where we are required to by law.
Some of our service providers, including Google, may process information outside the UK. Where this happens, they are required to protect it with appropriate safeguards recognised under UK data protection law.
How long we keep your information
- Enquiries that don’t go ahead: up to 2 years after our last contact, in case you come back to us, then deleted.
- Customer records: for 6 years after your project is completed, and longer where needed for any warranty period that is still running, to meet our legal, tax and warranty obligations.
- Website analytics data: in line with our Google Analytics retention settings (14 months).
Cookies and analytics
Cookies are small files stored on your device when you visit a website.
Essential cookies make the website work properly, for example to remember settings or keep the site secure. These cannot be switched off.
Analytics cookies: we use Google Analytics to see how many people visit our website, which pages are most useful and how people find us. We use this information only to understand and improve our website — not for advertising. Google Analytics sets cookies with names beginning “_ga”, which last up to two years.
You can opt out of Google Analytics at any time by installing the Google Analytics opt-out browser add-on, or by blocking cookies in your browser settings. Blocking cookies will not stop you from using our website.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information, where we no longer have a reason to keep it;
- ask us to restrict how we use your information, or object to us using it based on our legitimate interests;
- ask us to transfer information you gave us to another organisation.
To use any of these rights, contact us using the details above. We will respond within one month. There is normally no charge.
If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
Keeping your information secure
We take sensible steps to protect your information, including using secure, password-protected systems and limiting access to the people who need it to do their job.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
